Under direct supervision, the receptionist performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Work is performed under the close supervision of a clerical or administrative supervisor.

Job Responsibilities and Performance Standards:

  • Receive, screen, and direct telephone and/or radio communications
  • Greet or assist internal or external clients
  • Open, sort, and route incoming mail
  • Answer correspondence
  • Prepare outgoing mail
  • Operate office equipment
  • Maintain supplies for assigned area
  • Proofread or verify existing documents, reports, mathematical figures, and budget numbers, to ensure accuracy
  • Provide clerical support within assigned functional area, such as processing transactions, reviewing applications, scheduling training, scheduling facilities maintenance, reconciling financial records, and assessing/collecting fees for a program
  • Provide general clerical support to the office, to include such tasks as data entry/maintenance, copying/distributing documents and materials, maintaining record keeping and filing systems, and etc.

Sample Technical Competencies:

  • Computer skills
  • Ability to maintain routine clerical records
  • Ability to maintain and update filing, inventory and mailing system
  • Ability to perform basic bookkeeping and banking transactions
  • Ability to prepare all related reports

Entry Qualifications:

High school diploma OR GED
