Executive Assistant to the Dean

The Executive Assistant to the Dean works with the Dean to assist with management of College staff, multi-varied administrative and clerical duties of the office, and other necessary tasks associated with the daily operation of the College. Like all positions throughout the College, the Executive Assistant to the Dean supports and is an important component of the cohesive team of faculty and staff serving the educational mission of the College. The Executive Assistant to the Dean is a primary representative of the Dean who supports the cohesiveness of the faculty, students, and the staff.
DUTIES AND RESPONSIBILITIES:
Serves as the Dean' s primary point-of-contact
Administers the business functions of the college including: preparation of budgets for state and local accounts. Preparation of complex financial reports, management related functions, development and oversight of college policies related to fiscal operations,
ensures compliance with state and university regulations and fiscal propriety.
Maintain the daily scheduling of the Dean' s calendar of meetings and events
Assists with external and public relations, and development activities.
Works with the Dean to write proposals, grants and other reports.
Handles and/or supervises all conventional correspondence, travel, schedules, and administrative activities.
Supervises support staff and student workers.
Works with the Dean, university personnel and external constituents to coordinate the Dean' s developmental activities and external relationships including those with the College of Health various Advisory Boards.
Works with Associate Dean, Assistant Dean and Department Chairs to ensure coordination of College activities.
Coordinates all tenure, promotion, retention, and post-tenure review processes with the Dean, Associate/Assistant Deans, Chairs, and College Committees.
Maintain confidentiality and discretion regarding College business and files.
Works with College of Health administrative teams in fulfilling College goals.
EDUCATIONAL EXPERIENCE AND QUALIFICATIONS:

Excellent communication and presentations skills.
Good analytical skills.
Skilled in organization and coordination of complex projects.
Word processing and technical skills in two or more of the following or equivalent software packages: Microsoft Access, Microsoft Excel, and Microsoft Word.
Ability to work independently.
Demonstrated commitment to cultural diversity and ability to work with individuals or groups with diverse backgrounds.
Bachelor degree preferred and/or 5 years of experience in higher education.
